Working with AI Prompts in Easy8

Introduction

This guide will show you how to work with AI Prompt Templates in Easy8. Prompt templates define how each AI assistant behaves, what instructions it follows, and what data it uses. By setting up your own prompts, you can tailor AI responses to your organization’s needs.

Prerequisites

  • Administrator access in Easy8
  • Easy AI plugin activated
  • AI activated for your user account
  • At least one AI collection available (optional, but useful)

How to Work with AI Prompts

Step 1: Open the AI Assistant Dashboard

Go to the global menu and click Administration >> AI Assistant Dashboard.

Step 2: Open "Prompt Templates"

In the right sidebar, click on Prompt templates. This opens a list of available prompts.

Step 3: Review Existing Prompts

You will see a list of prompt templates with their:

  • Name
  • Assigned assistant type (e.g. Knowledge Assistant, Write Assistant)
  • Status:
    • Active – visible to all users
    • Inactive – hidden
    • Testing – only visible to selected testers set in Easy AI Settings

💡 Built-in prompts are pre-made by the system. They cannot be edited or deleted.

Creating a New Prompt Template

Step 4: Click "New Prompt Template"

In the prompt list, click the New prompt template button to start a new configuration.

Step 5: Fill In the Prompt Details

Complete the form with the following:

  • What is the template used for – Select the assistant type (e.g. Write Assistant)
  • Name – How the prompt will appear in the assistant
  • Status – Choose visibility (Active, Inactive, Testing)
  • Collection – Select a data collection the assistant should use
  • Short Description – Optional summary of the prompt
  • Content – This is the instruction given to the AI

Use tokens to help the assistant understand what to do. Common tokens include:

  • {question} – the user's input
  • {context} – task data and related info
  • {issue_description} – task description
  • {text} – pulled from the collection
  • {language} / {in_language_name} – language variables

📌 Note: HelpDesk Assistant does not support custom prompt templates. It uses built-in ones only.

Troubleshooting

  • The assistant doesn’t follow the prompt:
    → Check the assigned tokens or if the correct assistant type is selected.
  • Prompt not visible to users:
    → Make sure it’s set to "Active" and that collections are assigned.
