Using Task Templates for Faster Task Creation

This guide will show you how to use task templates in Easy8. Templates help you quickly create tasks with predefined values like name, description, assignee, and priority. This saves time and ensures consistency across your projects.

- Existing task templates or rights to create them
How to Use Task Templates
Step 1: Create a Task Template
- Go to Global Menu >> Task Templates.
- Click New Template.
- Fill in the following fields:
- Template Name – internal name for selection
- Template Author – auto-filled as current user
- Template Category – for organization
- Template Description – optional, hidden behind “Add more info about the template”
- Subject – title of the task
- Description – task body
- Project – optional default project
- Tracker – task type (e.g., Task, Bug)
- Priority – default level
- Assignee – user or group
- Due Date Offset – days after creation for due date
- Tags – optional labels
- Checklists – predefined checklist items
- Custom Fields – based on selected tracker
- Click Save to store the template.
💡 Tip: The Due Date Offset automatically calculates the due date from the task’s creation date.
Step 2: Create a Task Using a Template
- Navigate to any project and click New Task.
- Click the Use Task Template button at the top of the form.
- In the popup, search or filter to find a template.
- Click Apply to insert the template data.
- The form will pre-fill with values from the template.
- Modify fields if needed and click Save.
💡 Tip: If a template has a Due Date Offset, the system sets the due date automatically.
💡 Tip: For quick access, use Tasks >> New Task from Template in the left-side menu. This menu is available system-wide and depends on your user type settings.
Step 3: Manage or Update Existing Templates
- Go to Global Menu >> Task Templates.
- Click any template name to open and edit it.
- Click Save to update the template.
Troubleshooting
- “Use Task Template” button not visible: Make sure the feature is enabled in your instance.
- Cannot create or edit templates: You might not have the required permissions.
