Understanding Task Statuses
Definition
A task status reflects the current stage or condition of a task within its lifecycle. Common examples include:
- New – the task has been created but not yet started
- In Progress – the task is actively being worked on
- Resolved – work is done and waiting for review
- Closed – the task is completed and confirmed
- Rejected – the task is no longer relevant or valid
Each status helps users, managers, and stakeholders understand where a task stands and what action is expected next.
How It Works
1. Customization
Administrators can define and customize task statuses in Administration >> Task Settings >> Statuses.
- You can create as many statuses as needed
- Each status can have a color and position in the workflow
- Status changes can be controlled by user roles and permissions
2. Workflow Rules
- Workflows define which status changes are allowed and by whom
- For example, a user can change a task from New → In Progress, but only a manager can mark it as Closed
- Transitions are configured per role and tracker to ensure a logical process
3. Automation
- Status changes can trigger automatic notifications
- They may control time tracking actions (start/stop)
- Status updates can be used in reminder setups or escalation paths
Practical Examples
- A Support Ticket may start as New, move to In Progress, and be Closed after resolution
- A Development Task might move from New → In Progress → Code Review → QA → Done
- The Rejected status is useful for keeping a record of invalid or canceled tasks
Conclusion
Task statuses are central to guiding work through structured processes in Easy8. When combined with workflows and permissions, they help maintain order, accountability, and transparency across your projects.
