Introduction
This reference explains all available options when creating a new user via Administration > Users > New User.

Definition of New User Options

| Login | Username the user will use to log in. Required field. |
| First Name | User’s first name. Required field. |
| Last Name | User’s last name. Required field. |
| User’s email address. Required field. | |
| Phone | User’s phone number. Optional. |
| Language | Default language for the user's interface. |
| User Type | Defines the user’s access model (e.g., Team Member). |
| Apply default template for selected user type | Automatically assigns a dashboard template based on user type. |
| System Group | Marks user for system operations only (not a human user). |
| Primary Phone | Additional phone field, mainly for external contact. |
| Administrator | Full administrative rights in the system. |
| Partial Administrator | Limited administrative rights based on assigned modules. |
| Select my dashboard template | Select a custom dashboard template for the user. |
| Managed in Agile RM | Mark the user to be managed in Agile Resource Management. |
| Supervisor | Assign a supervisor to the user. |
| Easy AI assistants active | Enables Easy AI assistants for the user. |
| Password* | Set the initial password manually. |
| Confirmation | Confirm the password entered above. |
| Generate password | System generates a random password automatically. |
| Must change password at next log in | Forces user to change password on first login. |
| Email notifications | Choose notification preferences for task changes and updates. |
| Mail signature | Default email signature for this user. |
| Hours format | Choose the display format for tracked time (decimal or hour:min). |
| Number alignment | Choose text alignment for numbers (left or right). |
| Hide my email address | Hide user's email address from other users. |
| Time zone | User’s local time zone setting. |
| Sort task comments | Set the order of comments on task details (e.g., chronological). |
| Hide notification about password expiration | Disable reminders about password expiry. |
| Disable automatic loading | Disable some automatic loading features for better performance. |
| View all spent time | User can view all spent time records (not just their own). |
| Warn me when leaving a page with unsaved text | Shows a warning popup if leaving a page with unsaved text. |
| Font used for text areas | Choose default font style for text editing areas. |
| Hide SLA data | Hide SLA-related fields and data from user view. |
| Add Calendar | Connect an external calendar (e.g., Google Calendar). |
| Default DMS query | Set a default query when accessing document management. |
| Receive download notifications | Notify the user when documents are downloaded. |
| Apply roles and permissions from user | Copy permissions and role setup from another user. |
| Send account information to the user | Option to automatically email the login details after saving. |
Usage Notes
- Fields marked with * are mandatory for user creation.
- Administrator grants full system access — use carefully.
- Easy AI assistants activation counts towards your licensed AI user limit.
- Generate password is recommended when onboarding multiple users quickly.
Warning
Enabling "Administrator" gives the user full control over system settings. Only trusted users should be assigned this role.
