How to Work with Competence Planning by Teams and Trackers
Introduction
This guide explains how to use competence planning in Global Resource Management. By filtering users by team and tasks by tracker, you can better assign work based on specialization and workload capacity.

- Existing teams defined in the system
- Tasks with assigned trackers (e.g., Development, Support)
Competence Planning Process
Step 1: Open Global Resource Management
- Go to Global menu >> Resource Management
- Make sure the Week view is selected for best clarity
- Teams (like “Devel team”, “Consulting”, “IT experts”) appear as collapsible rows in the user list
Step 2: Apply Team and Tracker Filters
- Click Filters in the top-right corner of Global Resource Management
- Click "Add filter" to create a new filter
- Choose a filter type, such as:
- Team – to show only members of selected teams
- Tracker – to focus on specific task types (e.g., Development, Support)
- Define the filter details (e.g., which team or tracker you want to display)
- All currently active filters will be shown directly below the Filters menu when expanded
You can also save filters and mark them as "Show in heading". These saved filters will appear as quick-access buttons like Consultants, Developers, or My tasks. The example shown in the image is based on demo data — filters and teams in your system may vary.
Step 3: Analyze Team Load
Each team or user row shows task allocations with colored bars:
- Pink – User is overloaded
- Light blue – No tasks assigned
- Beige – Free capacity
- Green – Optimal workload
- Orange – Reserved time block
These indicators help you see which users are overloaded or underutilized.
Step 4: Reassign and Plan Based on Availability
- Drag and drop tasks to teammates with available time
- Shift tasks to other days by dragging them along the timeline
- Edit daily hour values directly for custom distribution
Step 5: Combine with Other Filters (Optional)
You can refine the timeline by applying additional filters:
- Project – focus on one or more projects
- Role – limit to users with specific responsibilities
- User – focus on individual workloads
