How to Work with Allocations
Introduction
This guide will show you how to create and manage custom time allocations for users in Easy8's Resource Management. It is useful when automatic task allocations are not enough, and you need to manually define the workload.

- Access to Global Resource Management or Project Resource Management
- Proper permissions to create and manage tasks and allocations
How to Use Custom Allocations
Step 1: Open Resource Management
- Go to More menu >> Resource Management
- Select the desired time range: Days, Weeks, Months, Quarters, or Years
Step 2: Expand the User
- Find the user you want to allocate work to
- Click the expand icon to see tasks and allocations
Step 3: Create a Custom Allocation
- Click into an empty space in the user row on the timeline
- A blue allocation box appears with editable fields
- Enter the number of hours you want to allocate for that day or week
- Click Save when finished
Step 4: Adjust an Existing Allocation
- Click on an existing allocation block
- Drag and drop to move or resize it
- Edit the number of hours directly
Step 5: Use Manual Planning
- You can combine custom allocations with automatic planning features
- Enable manual allocation in task settings if needed
Allocation and Event Tooltips
When working with allocations, Easy8 provides helpful tooltips for better planning overview. These appear when you click on a timeline cell that contains either an allocation or an event.
- If you click on a cell with a task allocation, a tooltip appears showing the total number of hours allocated from non-visible tasks (for example, those collapsed in the list). This is especially useful in weekly or monthly views to understand the complete workload of a user, even if not all task details are expanded.
- If the cell contains a calendar event such as a meeting, business trip, or vacation, the tooltip shows a breakdown of all such events in that time slot. Events are counted even when they span multiple days, such as vacations. This ensures full transparency in how user capacity is blocked.
Tooltips are available across daily, weekly, and monthly views. They help you understand not only how much time is allocated, but also what other scheduled events may affect availability.
📌 Note:
Most actions described in this article can also be performed in the project-level Resource Management. To access it, go to a specific project and click the "Resource Management" tab. The functionality is almost identical, but it will only display and apply to tasks and users related to that specific project.
