How to View and Plan Around Calendar Events in Resource Management

Introduction

This guide shows you how Resource Management interacts with the Calendar in Easy8. By understanding this connection, you can plan more accurately and avoid time conflicts with scheduled events such as meetings or holidays.

Target Audience

User

Prerequisites

  • Access to Global Resource Management
  • Access to the Calendar module
  • Proper permissions to view and plan tasks and events

How to View and Plan Around Calendar Events in Resource Management

Step 1: Open Global Resource Management

  1. Navigate to Global menu >> Resource Management
  2. Use the Week or Day view for accurate timeline display
  3. Make sure the users you are planning for are visible and expanded

Step 2: Understand the Calendar Connection

  • Any event created via the Calendar (meetings, holidays, etc.) that includes one or more users will automatically block time on their timeline in Resource Management
  • These events are marked with special codes such as:
    • "m" – for meetings (followed by estimated hours, e.g., m2)
    • "H" – for holidays
  • These markers are visible in user timelines and reduce their available capacity accordingly
  • Users should not be assigned tasks during these blocks unless the event is rescheduled

🛈 Note: These blocks are read-only in Resource Management. You must manage the events from the Calendar.

Step 3: Plan Tasks Around Calendar Events

  1. Watch for event markers like "m" or "H" in the timeline
  2. Avoid placing tasks on these days or times
  3. Use drag & drop to move the task to available hours

Step 4: Confirm Overlap-Free Planning

  • Make sure task blocks do not overlap with marked calendar events
  • Use filters (by user, role, or project) to improve clarity
  • Click Save once all changes are complete

Troubleshooting

Problem Solution
Calendar events not visible in Resource Management Ensure the event is assigned to the correct user and appears on their Calendar
Task overlaps with a calendar event Move the task using drag & drop or update the event in the Calendar
Cannot change an event Only the event creator or admin can edit Calendar entries

Conclusion

Thanks to integration with the Calendar, all planned events such as meetings and holidays are automatically reflected in Resource Management. These reduce users’ available capacity and are marked with codes like “m” or “H”. This ensures that planners assign work only when people are truly available.

📌 Note: Most actions described in this article can also be performed in the project-level Resource Management. To access it, go to a specific project and click the "Resource Management" tab. The functionality is almost identical, but it will only display and apply to tasks and users related to that specific project.
