How to Use the Portfolio Overview for Budget Insights

This guide will show you how to use the Portfolio Overview in Easy8 to gain insights into project budgets. This feature provides a clear overview of financial data across projects, helping you monitor planned and real incomes and expenses in one place.

Before starting, ensure you have:
- Access to the Budgets statement feature
- Proper permissions to view project budget information
How to Use the Portfolio Overview
Step 1: Open Portfolio Overview
- Go to the Global menu
- Click on Budgets statement (found in the Business section)
- Once on the dashboard, locate the small right-side menu
- Click on Portfolio overview to access the table with project-level financial data
Step 2: Review Budget Columns
- Portfolio Overview shows your project portfolio — a summary of all projects with the Budgets module activated and matching your filtering criteria.
- The table includes default columns such as:
- Planned income
- Real income
- Planned expense
- Real expense
- Budget difference (auto-calculated)
- These columns are controlled by the "default filters" set in Administration.
Step 3: Customize the View
- Use the Options menu to choose which budget-related columns to display (e.g. travel costs, profits, revenues, etc.)
- Use the Filters menu to narrow down the displayed projects (e.g. by project status)
- Click on any column title to sort the results ascending/descending
- These changes are personal and do not affect other users' views
- You can export the table using the Exports menu in the bottom right corner (formats: CSV, XLSX, PDF, Print)

- Click a project name to open its detailed dashboard and budget statement
Step 5: Data Refresh Behavior
- To optimize overall system performance, data in the Portfolio Overview is updated automatically once per day
- This default refresh rate cannot be changed
- If needed, you can manually trigger a refresh by running the scheduled task: Projects budget overview recalculation in Overview of scheduled tasks (accessible from Administration)
Corner Situations
Notice
If subprojects are not visible to you due to permissions, you may see incomplete financial data in the Portfolio Overview.
Warning
If values appear missing, check that the related project budgets include both planned and real entries for income/expense fields.
