How to Use The Balance Feature
Introduction
The Balance feature in Resource Management helps automatically redistribute allocated hours across tasks based on user capacity. It ensures a more even and realistic workload. This guide will explain how to activate it, how it works, and what to expect.

Prerequisites
- Access to Global or Project-Level Resource Management
- Permission to Edit Resource Allocations
- Tasks assigned and visible in the timeline
Using the Balance Feature
Step 1: Open Resource Management
- Go to Global menu >> Resource Management or access the Resource Management tab inside a project.
- Tasks and users must be visible and expanded on the timeline. The Balance feature only applies to tasks that are displayed.
Step 2: Access the Balance Option
- Click the Tools menu (gear icon) at the top-right of Resource Management.
- Enable the Balance switch.
Step 3: How the Balance Works
- Automatically redistributes task hours evenly from today until the task’s due date
- Considers:
- User working hours
- Vacations
- Other task allocations
- Does not allocate hours to the last day of the task – any remaining time is moved there
- If tasks overlap, hours on overlapping days are also moved to the end and need manual adjustment
Step 4: Differences Between Global and Project Levels
- Global Level: Balancing works only on tasks that are expanded and visible.
- Project Level: Balancing applies to all tasks of the current project, whether expanded or collapsed, and ignores other projects.
Step 5: Task Priority and Balancing Order
- If the Priority column is shown, higher priority tasks are balanced first.
- If the column is hidden, balancing follows the order in the task list.
- Reservations are excluded – they are evenly allocated by default (configurable at creation).
Step 6: Undo or Repeat Balancing
- To undo an unsaved balance: press F5 to refresh the page.
- Do not use the browser's Back button – it won’t revert the balancing.
- Once saved, balancing can only be reverted manually.
- If vacations are added later, repeat the Balance process to include them.
📌 Note: Most actions described in this article can also be performed in the project-level Resource Management. To access it, go to a specific project and click the "Resource Management" tab. The functionality is almost identical, but it will only display and apply to tasks and users related to that specific project.
Conclusion
The Balance feature saves time by fairly spreading workloads across time, based on current user capacity. Use it regularly to maintain a realistic and healthy task distribution across your team.
