Introduction
Avatars and gravatars are small profile images that help visually identify users across Easy8. This guide explains how to upload a personal avatar and how to activate globally recognized avatars (gravatars) for all users in the system.
Target audience
- Administrator
Prerequisites
- Access to your user profile
- Admin rights (for enabling gravatars system-wide)
- Image file in a supported format: JPG, JPEG, PNG, GIF, BMP
Steps
1. Upload a Personal Avatar
- Go to Administration → Users
- Select the user whose avatar you want to update
- Click Edit profile
- Scroll to the Avatar field
- Upload an image in one of the supported formats (JPEG, PNG, GIF, BMP)
- Save the profile
Note: If no avatar is uploaded, a default system avatar is shown. This default cannot be customized.
2. Where Avatars Are Displayed
Once set, user avatars appear in various areas across Easy8, such as:
- User lists
- Task overviews (author or assignee columns)
- Agile boards (Scrum/Kanban assignee icons)
- Any lists filtered by user
These images serve as quick visual identifiers next to user names.
3. Enable Gravatars (Admin Only)
- Go to Administration → Settings → Display
- Find the setting labeled Default Gravatar image
- Activate gravatars by selecting a theme from the dropdown
- Save the changes
Note: When gravatars are enabled, all uploaded personal avatars are hidden, and each user is assigned a unique gravatar based on their email address.
Results
- A user’s uploaded avatar will appear next to their name across the interface
- If gravatars are enabled, automatically assigned images replace the uploaded avatars
Troubleshooting
- Avatar not visible: Check that the image was uploaded and saved properly
- Wrong image format: Only use JPEG, PNG, GIF, or BMP
- Avatar hidden: If gravatars are active, uploaded avatars will not be shown
