How to Import Easy8's Calendar into an External iCal-Compatible Calendar

Introduction

This article explains how to export your calendar from Easy8 and import it into an external calendar system that supports the iCal format (e.g. Google Calendar, Apple Calendar, Outlook). This allows you to view and manage your Easy8 events from your preferred calendar application.

Target audience

  • Administrator

Prerequisites

  • Access to your Easy8 account
  • Access to an external iCal-compatible calendar system (e.g. Google Calendar)
  • Basic familiarity with using calendar settings

Steps

1. Get the iCal Link from Easy8

  1. Open the Calendar module using the calendar icon in the top-right corner.
  2. Scroll to the bottom of the calendar interface and click "iCal URL for events export".
  3. A pop-up window will appear showing:
    • Your personal iCal URL
    • A QR code
    • Export options (Meetings and Attendance are selected by default; you may also include Allocations and Sales activities)
  4. Click the green button to copy the URL to your clipboard.
  5. Alternatively, open the URL in your browser and download the .ics file manually.

2. Import into Your External Calendar

Option A: Import via URL (Recommended for syncing)

  1. Open your external calendar (e.g. Google Calendar).
  2. In the Other calendars section, choose "Add by URL".
  3. Paste the copied Easy8 iCal URL into the field and confirm.
  4. The calendar will appear and automatically update with future events.

Option B: Import via File (One-time import)

  1. Open your external calendar.
  2. Select "Import calendar" from the options menu.
  3. Upload the downloaded .ics file from Easy8.
  4. Confirm and import the events into your calendar.

Results

  • Your Easy8 events will appear in your external calendar.
  • URL-based imports will continue to sync changes automatically.
  • File-based imports are one-time only and won’t reflect future updates.

Troubleshooting

  • No events appear after import: Double-check your export options and make sure meetings/attendance are enabled.
  • Import via URL doesn’t sync: Ensure the URL is accessible and not blocked by your network or firewall.
  • File import failed: Try re-downloading the .ics file and uploading it again.
