Introduction
This guide will show you how to configure roles and permissions for Easy DMS in Easy8. This setup controls what users can do with documents and folders. By following these steps, you’ll be able to manage access, editing, approvals, and other document actions.

How to Configure Roles and Permissions
Step 1: Access Roles and Permissions
- Go to the Global menu
- Click on Administration
- Select Roles and permissions
Step 2: Select a Role to Edit or Create a New One
- Choose an existing role to edit or click New role
Step 3: Configure Easy DMS Permissions
Scroll to the Easy DMS section and select the permissions you want to grant:
- View DMS file revision accesses: See who accessed file revisions
- View DMS file revisions: View document revision history
- Browse documents: Navigate folders and files
- User preferences DMS tab: Enable DMS tab in project settings
- View documents: Download, email, copy, move documents; use approval workflows
- Folder manipulation: Create, delete, edit, lock/unlock folders; toggle email notifications
- File manipulation: Upload, lock/unlock documents; manage notifications, approval workflows, and symbolic links
- Delete documents: Access the Trash bin to delete or restore documents
- Force file unlock: Unlock files locked by other users
- File approval: Enable or disable document approval workflow
- Manage workflows: Access the Approval workflow tab in project settings and define workflows
Step 4: Save the Role
- Click Save to apply the changes
