Definition
A custom field is a user-defined field that stores specific data not available by default in the system. It can be attached to various types of objects and configured based on format, visibility, and validation.
From the Custom Fields administration option the administrators can:
- View a list of existing fields grouped by entity
- Expand each group to see the fields and their details
- Create a new custom field using the New custom field button
How It Works
Viewing Existing Custom Fields
Custom fields are displayed in a grouped list by entity (e.g., Tasks, Projects, Users). Each entry shows:
- Name
- Format (e.g., text, list, key/value)
- Whether it is required
- Number of occurrences
- Group and author
To edit a field, click the row or choose the inline edit option.
Creating a New Custom Field
Click New custom field to start. First, select the entity the field will be attached to (e.g., Task, Project, Budget). Next, configure the field’s attributes:
- Format: Choose the type of input (text, list, number, etc.)
- Name: Field label
- Group: Fields can be grouped for better organization
- Description: Optional explanation of the field
- Min–Max length: Set allowed length (optional)
- Multiple values: Enable selection of more than one item
- Possible values: Applies to list-based fields; one value per line
- Default value: Pre-filled for new entities
- Display and visibility: Define if the field is shown as dropdown, checkbox, etc., and who can see it
- Tracker/Project filters: Limit visibility to selected workflows or projects
Field Behavior Settings
Each field has behavior settings such as:
- Required: Must be filled in
- Primary: Treated as a main field
- Used as filter: Available in filters
- Searchable
- Show with empty fields
- Clear when anonymized
- Email notifications
- Do not export
These options make custom fields flexible and applicable in multiple scenarios.
