Understanding Attendance Categories Settings
Definition
Attendance categories are labels used to classify attendance entries. You can manage them in the Attendance settings. For each category, you can control how it behaves, whether it tracks working or non-working hours, and how it interacts with project logging and approvals.
How It Works
Go to Attendance settings. There you can:
- Click New value to create a new category.
- Click the name of a category to edit it.
- Click the trash icon to delete a category.
- Drag categories using the reorder icon to change their order in the list.
When creating or editing a category, you can configure the following:
| Setting | Description |
|---|---|
| Name | Set the category name (e.g., Vacation) |
| Select color scheme | Choose the color for calendar display |
| Notice mail | Email address to notify when time is logged |
| At work? | Mark if the category means working or non-working time |
| System activity | Used for REST API integrations; hidden from users |
| Enter hours as | Choose between auto-filled or manual time entry |
| Default value | Set as the default option when logging attendance |
| Approval required | Enable approval workflow for this category |
| Without logging time | Skip logging time to any project |
| Also log time to project | Select a project to log the time to (must be a member) |
Make sure the related activity in the project is not disabled. If it is, approval may fail.
Examples
- A Vacation category may be set as: not at work, requires approval, does not log time to any project.
- A Home office category may be marked as working time and logged automatically.
Approval Process
- User logs a vacation request (or other attendance type).
- The record is saved as unapproved.
- The manager goes to Global menu > Attendance > List, filters the records, right-clicks the entry, and selects Approve or Reject.
- The user can see the status: approved, denied, or waiting.
- If an approved record is edited (arrival, departure, user, or category), it becomes unapproved again and must be re-approved.
Conclusion
Attendance categories define how attendance is tracked and processed in Easy8. With the right settings, you can make logging time flexible while maintaining proper approval workflows.
