Assigning a Task to Multiple Users: Best Approaches

In Easy8, you can assign tasks to more than one user using different methods. This guide explains all available options and when to use them to ensure efficient task distribution and clear responsibilities.

Methods to Assign a Task to Multiple Users
Method 1: Use the Coworkers Field
The Coworkers field allows you to add additional users who will collaborate on a task.
- Open the task and click Edit Task.
- In the right sidebar, find the Coworkers field.
- Add one or more users as coworkers.
- Save the task.
Effect: The task has one main Assignee. Other users are listed as Coworkers and can track the task in their task list.
💡 Tip: Coworkers will not receive the task as assigned to them but can follow, edit, and comment on it.
Method 2: Assign the Task to a Group
If you want to assign the task to all members of a group:
- Open the task and click Edit Task.
- In the Assignee field, select a Group instead of an individual user.
- Save the task.
Effect: The task is assigned to the selected group. All group members will see the task in their task lists as assigned to the group.
Method 3: Create Distributed Tasks
Prerequisites
Before using distributed tasks, the feature must be enabled:
- Go to Global Menu >> Administration >> Settings >> Task Tracking
- Enable the checkbox Enable distributed tasks
Additionally, the tracker must support distributed tasks:
- Go to Global Menu >> Administration >> Trackers
- Edit the tracker you want to allow distributed tasks on
- Enable the option Distributed task
How to Create Distributed Tasks
The distributed task option is available only when creating a new task:
- Go to any task list or project and click New Task.
- In the Tracker field, select a tracker where Distributed task is enabled.
- In the task form:
- Fill in the Subject and other task details
- In the Distributed tasks section:
- Add one row per distributed task
- For each row, select an Assignee and define Estimated time
- Use the small + button to add more rows if needed
- Click Save
Effect: When saved, the system will automatically create a subtask for each row you defined in the Distributed tasks section. The main task will act as a parent task without an assignee. Each subtask will have its own assignee and estimated time.
💡 Tip: Distributed tasks are ideal when you want to split one main task into clearly defined subtasks, each assigned to a specific user with their own workload.
