Adding Documents to DMS

Introduction

This guide will show you how to add documents to folders in the Document Management System (DMS) in Easy8. You can upload files using drag & drop or manual selection. You’ll also learn how to describe and tag files before committing them to the system.

Target Audience

  • User

Prerequisites

  • DMS module must be active
  • Folder structure already created
  • Check maximum attachment size in Global menu >> Administration >> Settings >> Files

How to Add Documents to DMS

Step 1: Choose Upload Method

You can add files in two ways:

  • Drag & drop files into the Upload area (file size must be under 100MB; not supported in Internet Explorer)
  • Click the New file button in the top right corner and browse to select files

Step 2: Review the Upload List

Each file will appear in the upload list with:

  • File name
  • Status
  • Size
  • Option to remove it before uploading

Note: You can upload up to 20 files at once. Files over 2GB require a 64-bit browser. If not available, compress and split the file using tools like ZIP or RAR.

Step 3: Start the Upload

  • Click Start Upload to begin uploading files
  • You can stop the upload at any time with Stop Upload
  • The upload area size can be adjusted by dragging its bottom line

Step 4: Edit Document Details

After upload, you can:

  • Change the file title
  • Add a description and comment
  • Select a version

Click Commit to finish.

Step 5: Handle Duplicates

  • If a file with the same name already exists in the folder, the system will offer to create a new revision automatically

Important

Conclusion

You have successfully added documents to Easy DMS. Use the available fields to describe and tag your documents clearly, and follow system rules for naming and upload limits.
