How to Work with Group Restrictions in Knowledge Base

Introduction

This guide will show you how to manage group-based access restrictions in the Easy8 Knowledge Base. By using user Groups from Easy8, administrators can control which namespaces users can access. This ensures that only the right people see and manage the right content.

Target Audience

  • Administrator

Prerequisites

  • Administrator access to Easy8
  • Knowledge of Group management and permissions in Easy8

How to Work with Group Restrictions

Step 1: Set Namespace Restrictions by Group

  • Go to Global actions > Administration > Namespace Access
  • Select a namespace and restrict it to specific user Groups
  • Groups are transferred from Easy8 to the Knowledge Base automatically

Step 2: Add or Remove Users from a Group

  • Go to User edit > tab Groups in Easy8
  • Check or uncheck the box next to the Group name
  • Click Save – changes are reflected in the Knowledge Base automatically

Step 3: Understand Group Synchronization

  • When a Group is deleted in Easy8, it is also deleted in the Knowledge Base
  • Users will be removed from the KB Group if the original Easy8 Group no longer exists

Step 4: Update Group Permissions in the Knowledge Base

  • After changing KB permissions (e.g., adding "Manage articles"), go to:
  • Administration > Plugins > Knowledge Base - Edit
  • Click on the Update permissions button
  • This sends updated Group and permission info to the Knowledge Base

Important Note

If you only change permissions (not Group membership) in Easy8, the updated info will not be sent automatically to the Knowledge Base. You must click the Update permissions button manually.

Step 5: Check User Group Membership

  • Visit /wiki/Special:UserManager
  • The Groups column lists all Groups the user belongs to
  • Includes both Easy8 and Knowledge Base-originated Groups

Default Groups in Knowledge Base

  • editor – reflects "Manage articles" permission
  • viewer – reflects "View articles" permission
  • Other Groups come directly from Easy8 and can have any custom name

Conclusion

You have successfully learned how to manage Knowledge Base namespace restrictions using Easy8 Groups. Keeping these Groups up to date ensures secure and appropriate access to your documentation.
